Privacy Policy — XJEAN Mail Brief

XJEAN Mail Brief is an internal tool used only by JS Private Office. It reads the mailboxes that JS Private Office operates: its own, and client mailboxes that clients have authorized JS Private Office to manage on their behalf. It is not offered to the public and clients do not use it directly.

What the tool does

Each morning the tool reads new email headers and short previews from each connected mailbox and produces a one-page daily summary for JS Private Office. It never sends, replies to, forwards, labels, moves, or deletes email, and it never downloads attachments.

What data is accessed

The tool requests read-only access to Gmail (the gmail.readonly scope). It reads the sender, subject, date, and the first line of each new message. Full message bodies are read only on the computer that runs the tool and are never stored or transmitted elsewhere.

Where data is stored

Sign-in tokens issued by Google are stored only on the JS Private Office computer that runs the tool. They are used solely to read the mailbox and can be revoked at any time. The daily summary (sender name, subject, one short line per message, and any action items) is stored locally and in JS Private Office’s private Notion workspace. No email content is sold, shared with third parties, or used for advertising.

Limited Use disclosure

XJEAN Mail Brief’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. Data obtained through Google APIs is used only to produce the daily summary for JS Private Office.

Revoking access

Access can be withdrawn for any mailbox at any time at https://myaccount.google.com/permissions by removing “XJEAN Mail Brief”. JS Private Office will also disconnect any client mailbox on request and delete the locally stored token.
